Goodwill Indy Registrar Office Assistant in Indianapolis, Indiana

POSITION SUMMARY

The Registrar Office Assistant receives incoming telephone calls for the center, obtains callers’ names and forwards calls to the appropriate party, answers inquiries and takes messages. Will attend to the records office reception area by meeting, greeting and directing all visitors. Provides administrative support to the central office team to include word processing, filing, copying, labeling, Internet researching, scanning and faxing materials, enters data in the student management database and ensures data quality.

Essential skills include the following: language skills, writing skills, reasoning ability and computer skills. Position requires strong focus on initiative, professional attitude and the ability to prioritize tasks in a fast-paced environment. Hours are 8 a.m.–5 p.m. (Monday-Friday) with a one-hour lunch.

Responsibilities

  • Greets visitors, provides information requested, routes visitors to the appropriate party.

  • Answers phones, provides information about the schools or directs calls to appropriate party.

  • Checks voicemail and responds to messages in a timely manner.

  • Receives notifications of student applications.

  • Processes online enrollments.

  • Sends appropriate email, mail, and phone calls to students who have applied.

  • Tracks enrollment progress in student management database.

  • Inputs new student data into Synergy.

  • Ensures student information system is accurate and up to date.

  • Works in collaboration with school and central office team to coordinate iExcel and Bridges.

  • Provides administrative support to enrollment coordinator to include managing schedule, coordinating meetings and correspondence, and performing other duties as assigned.

  • Provides support to registrars.

  • Collects and distributes mail daily.

  • Maintains and stocks office supplies.

  • Assists with staff scheduling where applicable.

  • Assists all records office staff with various tasks to ensure the success of the overall function of the records office team.

  • Contributes to overall success of Goodwill Education Initiatives by performing other essential duties and responsibilities as assigned by the immediate supervisor — for example, making copies and labels, sending faxes, assisting with mailings, etc.

  • Supports The Excel Center National Office in needs assessments, consultation, and other relevant activities as it pertains to curriculum, instruction, and assessment.

  • Performs other duties as assigned.

POSITION QUALIFICATIONS

  • Associate’s degree preferred.

  • Demonstrates a high degree of professionalism and a willingness to make a good first impression.

  • Demonstrates empathy in difficult situations and uses discretion in sharing information.

  • Is knowledgeable and informed regarding The Indianapolis Metropolitan High School and The Excel Center in order to provide callers and visitors with correct and appropriate information.

  • Effective at multitasking, and flexible and adaptable to changing work priorities and schedules

  • Demonstrates initiative, understands how to effectively seek out and research information to complete work.

  • Has working knowledge of Microsoft computer programs to perform clerical tasks: Gmail, Excel, Word, Google Drive databases, and Internet Explorer.

  • Minimum 2 years of administrative experience.

  • Highly detailed and organized, experienced with electronic recordkeeping, file management, scheduling and events coordination.

  • Effective personal and team time management skills; deadline driven.
