Who are we looking for?

  • Ability to practice professionalism and friendliness

  • Strong ability to type, spell, and proofread

  • Strong ability to communicate effectively both verbally and via written communication

  • Ability to utilize Office 365

  • Ability to use office equipment efficiently – phone system, printer, photocopier, scanner, fax, lamination, postage machine, label maker, etc.

  • Ability to problem solve, research, and draw valid conclusions when records and information don’t match

  • Ability to utilize Oracle

  • Ability to handle a variety of tasks and interruptions while handling those tasks

  • Proven administrative or assistant experience

  • Excellent time management skills and ability to multi-task and prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organization and planning skills

  • Proficient in Office 365

  • At least 2 years of experience in the field or in a related area

  • High school diploma or equivalent; college degree preferred

What will you be doing?

  • Process Invoices

  • Mail or Email Invoices

  • Enter Billing Notes in Oracle

  • Filing

  • Scanning in Folders

  • Scanning and Saving Fire Folders

  • Pull Invoice number from Invoice listing and enter information

  • Save to Job Folders & K drive

  • Mail or Email to Customers and Project Managers

  • Backup for Oracle and ADP Payroll Data Entry
